Terms of Service & Privacy Policy
Transparent legal terms governing our AI automation, custom voice/chat workflows, and digital marketing services.
Privacy Policy
At Vagar Systems ("we," "our," or "us"), we are dedicated to securing your privacy while delivering high-performance artificial intelligence, automated voice and messaging engines, and digital lead generation platforms. This Privacy Policy details our policies regarding data collection, operational use, and disclosure across vagarsystems.com.
1.0 Information We Collect
We collect several types of information to provide, maintain, and optimize our B2B AI systems:
- Personal Identifiers: Name, professional email address, phone number, company title, and billing data provided when requesting a consultation or subscribing to AI workflows.
- Voice & Conversation Telemetry: Audio recordings, call metadata, transcript logs, and prompt responses processed through our custom voice agents or web chat automation.
- Technical & Log Data: Internet Protocol (IP) address, browser client specs, device fingerprint, operating system details, referring URLs, and timestamp data.
2.0 How We Use Your Information & AI Training Policy
Your data is utilized strictly to provide enterprise-grade automation solutions. Specific usages include:
- Executing AI phone automation calls, conversational web chat flows, and outbound CRM lead triggers.
- Improving natural language processing (NLP) models and voice synthesizers tailored specifically to client workflows.
- Strict No-Sell Policy: We NEVER sell, rent, or trade your personal data, customer contacts, or proprietary call transcripts to third-party ad networks or data brokers.
3.0 Sub-processors & Third-Party Services
To deliver real-time voice and automation, Vagar Systems securely integrates with vetted sub-processors under contractual data privacy agreements:
4.0 Data Retention & Security
We employ TLS 1.3 encryption in transit and AES-256 bit encryption at rest. Voice recordings and transcripts are retained for 90 days by default for quality compliance before automated purging, unless custom retention timelines are specified in client Service Level Agreements (SLAs).
5.0 Your Privacy Rights & Contact
Depending on your jurisdiction (including PIPEDA in Canada or GDPR/CCPA), you maintain rights to access, rectify, port, or erase your personal data held within Vagar Systems.
To submit a Data Subject Access Request (DSAR), email us at: vagar.system@gmail.com
Terms of Service
These Terms of Service ("Terms") dictate your access to and usage of the website, software solutions, and automated voice platforms operated by Vagar Systems. By interacting with vagarsystems.com or entering a Statement of Work (SOW), you agree to these legal obligations.
1.0 Scope of B2B AI & Automation Services
Vagar Systems designs, deploys, and manages artificial intelligence voice call assistants, automated lead qualification funnels, and marketing workflows. Final project deliverables, timeline schedules, service quotas, and maintenance terms are governed by mutually signed Statements of Work (SOW).
2.0 Intellectual Property Rights
Our IP: Vagar Systems retains all ownership, rights, title, and patent interests in our underlying code bases, proprietary prompt engine architectures, workflow blueprints, and platform branding.
Client IP: You retain full ownership of all business data, customer lists, and proprietary brand information supplied to configure our AI agents.
3.0 Acceptable Use & Compliance (TCPA / Do-Not-Call)
Clients utilizing Vagar Systems voice dispatch or messaging engines agree to comply with all regional telecommunication laws:
- Ensure express written consent is gathered prior to initiating automated AI voice or SMS communications (TCPA & CASL compliance).
- Refrain from using Vagar Systems infrastructure for spamming, harassment, fraudulent activity, or illegal call spoofing.
- Maintain active scrub lists for national Do-Not-Call (DNC) registries.
4.0 Warranties & AI Disclaimer
While Vagar Systems optimizes AI models for maximum accuracy, generative AI software is inherently probabilistic. Vagar Systems does not warrant that AI voice or chat outputs will be entirely free of minor hallucinated responses. Clients are encouraged to review call scripts and maintain human-in-the-loop oversight where critical.
5.0 Limitation of Liability
To the maximum extent permitted by applicable law, Vagar Systems shall not be liable for indirect, incidental, punitive, or consequential damages, including loss of profits or business interruption, arising out of service downtime or third-party telecommunications carrier failures. Total aggregate liability shall not exceed fees paid to Vagar Systems in the preceding 3 months.
6.0 Governing Law
These Terms are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to principles of conflicts of law.
Key Governance Highlights & FAQs
How does Vagar Systems ensure TCPA compliance for outbound AI calls?
Our voice platforms integrate automated suppression list management, strict calling window schedules (9 AM – 8 PM local recipient time), and real-time consent verification tokens before executing outbound call prompts.
Is client proprietary business data used to train public AI models?
No. All client call transcripts, CRM inputs, and custom Knowledge Base documents are hosted in zero-data-retention sandboxes that prohibit foundational AI providers from training public foundation models on your proprietary information.
How can I request a custom Service Level Agreement (SLA) or DPA?
Enterprise clients operating under custom Statements of Work may request executed Data Processing Addendums (DPAs) and custom uptime SLAs by contacting legal@vagarsystems.com.
